Communication with Authors

Bi-annually on January 1st and June 1st: the UTSA Libraries and Museums OER Team will:   

If Versioning is Not Needed

New and Existing Pressbooks OER and External OER

  • Once metadata and book information is finalized and confirmed with the author(s), OER coordinator submits metadata and updated digital PDFs to the Runner Research Open Educational Resources (OER) Communitysubmits to OERTX and submits to Open Textbook Library (for any original UTSA-created OER in use at multiple institutions), saving links to share with authors
  • Senior Library Assistant for OER emails authors, sharing links to the OER on Runner Research Press, OERTX and Open Textbook Library (if applicable) 

If Versioning is Needed

New and Existing Pressbooks OER and External OER

  • Authors will complete the OER Versioning/Editioning Request form and work with the OER Coordinator to answer any questions around versioning 
  • Once all questions have been answered, and the live version on Pressbooks has been updated to reflect all changes for the latest version, OER Coordinator exports the metadata and digital PDF and submits to the Runner Research OER Community
  • Senior Library Assistant for OER shares the link with author(s) to the updated record on Runner research with the latest version/edition

Annual Archiving and Sharing Email

Dear UT San Antonio Pressbooks authors:

Thank you for publishing an open educational resource (OER) on UTSA Pressbooks!

Per the UTSA Pressbooks Terms of Service, all OER on UTSA Pressbooks are automatically archived on Runner Research Press, UTSA’s institutional repository and shared on OERTX, the OER repository of the Texas Higher Education Coordinating Board.

However, we realize UTSA faculty are publishing their OER on other platforms beyond UTSA Pressbooks! UTSA Libraries and Museums provides OER sharing and archiving services to support greater discoverability and sharing of UTSA-created OER.

To request these services for an externally-housed OER, submit an OER Sharing and Archiving Request.

Once we receive your request, our team will archive and share a copy of your OER in Runner Research Press, UTSA’s Institutional repository, and OERTX, the OER repository of the Texas Higher Education Coordinating Board and will share those links with you once approved and finalized.

Annual Versioning/Editioning Email

Dear UT San Antonio Pressbooks authors:

Thank you for publishing an open educational resource (OER) on UTSA Pressbooks!

Pressbooks is designed so that authors can quickly revise their OER and publish updates that are immediately available to readers. While all revisions to your OER are tracked through the Pressbooks Revisions tool, there are times authors need to capture a snapshot in time of their OER as a whole (version) or create a new edition of their OER for sharing with readers.

The great news is that UTSA Libraries and Museums provides OER versioning/editioning support for OER published on UTSA Pressbooks and other OER publishing platforms/websites.

To request OER versioning/editioning services, submit an OER Versioning/Editioning Request.

Once we receive your request, a member of our OER Team will work with you to determine needs for your OER and to create and preserve a stable version/edition in Runner Research Press, UTSA’s Institutional repository, and OERTX, the OER repository of the Texas Higher Education Coordinating Board.

Email to Pressbooks Authors after Sharing/Archiving

Dear [UTSA Pressbooks OER Author Name],

We hope that you are having a great semester!

As a UTSA Pressbooks author, we know that you have a passion for sharing your open educational resources so that others can discover and benefit from them.

So, we wanted share that, per the UTSA Pressbooks Terms of Service [and the Memorandum of Understanding for your Adopt-a-Free-Textbook grant with the UTSA Libraries and Museums[this is for grant funded OER only], your OER [Title] has been archived in Runner Research Press, the online repository of scholarly and creative work produced at the university to preserve a stable version.

Your OER has also been shared to OERTX, the Texas Higher Education Coordinating Board’s digital library of OER, and Library Quick Search, UTSA Libraries and Museums single search of library collections.

UTSA Libraries and Museums has developed a process for archiving, sharing, and versioning UTSA-created OER documented in the OER Archiving and Discoverability chapter of the UT San Antonio OER Toolkit. In short, twice a year, our team will:

  • Automatically archive and share links to any newly-created UT San Antonio Pressbooks OER with Pressbooks authors
  • Work with Pressbooks authors to Identify any non-UT San Antonio Pressbooks OER that require archiving/sharing
  • Remind UTSA Pressbooks authors about versioning/editioning services for both UTSA Pressbooks OER and OER on other external platforms
